How to Live Stream Your Event Successfully

With many more organisations choosing to live stream their events, viewers and audience members are beginning to form a certain level of expectation when it comes to the live stream’s success.

We are proud to have been offering our live streaming services in London for the last three years. In addition to our 15 years of experience in video production, our team will make sure you are sufficiently prepped and set up for your live stream, ensuring the entire process runs as smoothly as possible.

If you’re holding your first live stream event soon and you want to get it right first time, our team of experts here at Film Your Event have compiled a list of things to tick off your checklist when it comes to planning your live stream.

Plan Thoroughly

As you would with any event, thorough planning is essential for any live streamed event. This will make sure that your presentation, ceremony, or conference is delivered in the best way possible, ensuring that all of your important points are received clearly to the correct audience.

With this is mind, plan what it is your event is offering. Why does it need to be live streamed?

Who are you presenting to? Who is your audience going to be? Who will be speaking on your live stream and are they sufficiently prepped?

And where will you be live streaming from? Does your live streaming set up work well on camera? Is the lighting correct? Can your speakers be seen clearly?

Professional Equipment

Using the best quality equipment and lighting will not only improve the video quality of your live stream, but will improve the reliability and reduce the chance of any mishaps during your event.
At Film Your Event, we will use advanced Sennheiser audio visual equipment to film your London event live stream. We make use of HD broadcast cameras and professional Sony DSLR cameras, depending on your requirements. The cameras we currently use include:

  • Sony PXW-Z150
  • Sony PXW-Z150
  • Sony A7s

To create the most professional looking live stream, we can also use more than one camera to capture the event from multiple angles. We will be able to advise you on this when planning the execution of the live stream.

Choose a Platform

Once you’ve established your audience, it is best to decide where you are going to be able to target this group.

We offer a number of live streaming services. The Youtube/Twitter/Facebook platforms are perfect for a simple solution that is very cost effective. It also allows you stream to larger audiences, as anyone will be able to have access wherever they are. They are however less secure.

An alternative is for us to create a live video stream that is published directly on your corporate website. This can be either open to anyone with the link or only accessible to people who are signed up and /or have a password. How secure does the stream need to be? Is it a free or paid event?

However, if you wish to live stream your London event to a smaller group that you wish to remain private and closed to the public, depending on how secure your message needs to be, there are various options.

Zoom can be a great option if you want to go secure and make sure only people who are signed up can watch the event. You can schedule a webinar instead of a meeting. This can make use of the presenter’s own webcam on their computer, or we can and film it with our professional broadcast cameras and add your branding to the images etc. Skype is also an option.
Whatever your event requires we will discuss you needs and offer advice accordingly.

Promote Your Live Stream Event

And of course, none of this will be worth it if people don’t know that your live stream event is happening!

Utilise your organisation’s social media platforms and clearly communicate to your intended audience when your event is taking place and how and where they can view it.

After Your Event

At Film Your Event, we also offer services in post-production. We can edit your successful event live stream, cutting it down to include the most important parts and removing any filler sections, so audience members that were not able to attend the live stream are able to catch up.

This edited overview video can also be used as marketing tool. We will deliver it to you in HD or 4K quality and in the most suitable file format so that it can be easily shared, transferred and uploaded.

Live Event Streaming and webcasting during Coronavirus

If you have a London event arranged in the next few weeks, you may be concerned with how Coronavirus is going to affect it. As a developing global case, live event streaming could be your most sensible option.
The world of events is facing an ever-growing sense uncertainty with larger events being cancelled or postponed on a daily basis.
Working out the best approach for your event can be confusing, especially when the news is informing us of tactic changes every day. Due to the fast-paced nature of the virus’s spread, taking sensible precautions around your event seems like the best place to start.
Coronavirus aside, there are many advantages of recording and/or streaming your event live, but here are some of the reasons it could mean there is no need to cancel your event.

Filming and webcasting with Zoom.
An alternative and secure option is to stream your presentation and integrate it with the brilliant webcasting capabilities of Zoom, making it easy to track all attendees and have a live Q&A. It is also possible to pre-record your presentation or message and integrate that into your webinar.

Virtual Presence with Minimal Interaction
Whatever your small to medium sized event is, maybe a corporate meeting, a press conference or an award ceremony, live event streaming will allow all of your guests to be in attendance from the comfort of their homes or offices.
Social distancing is currently one of the main recommendations put in place to discourage the further spread of Coronavirus. With many smaller events taking place in confined spaces such as theatres, halls or lecture rooms, live streaming your London event will reduce the need for the gathering of many people into one space, without them missing the event.

Larger Audience Reach
Live event streaming on either YouTube, Twitter, Facebook means you’ll be able to reach an audience much larger than the capacity of your venue!
We offer secure live streaming options as well, if you’re hosting a private event, but if your London event will benefit from a larger audience tuning in, maybe a product launch or an awards evening, live event streaming has the potential to reach global audiences.
If you have clients or business partners abroad, travel restrictions due to Coronavirus could have brought your event to a standstill, but by live streaming it, it may not be as detrimental as first suspected. You will be able to reach your entire audience, and then some.

Available on Demand
We’re living in a massively uncertain time because of Coronavirus, which means audience members may end up missing your live streamed London event. But not to worry. The beauty of our live event streaming services means your recorded event can be re-watched at any time.
Should you require, we also offer a full edited copy of your London event that we deliver to you in HD or 4K quality, and in the most suitable file format so that it can be easily shared amongst your absent audience members, ensuring that no one misses out.

Choosing the right interview filming: to camera, or not to camera?

Which interview filming style is the right one for your project? Whether you’re filming an interview as part of a longer video project, such as a company review, or simply as a talking head for a feature, choosing the right interview filming is integral to your communication. As professional event videographers in London, we know the power of a professionally produced interview and the sway it can hold over people, so we’re going to talk you through filming ‘to camera’ and ‘off camera’.

Or, as Shakespeare famously did not write: To camera, or not to camera?

Context is key

For us, the context of what you’re filming influences which filming style we’ll recommend. Are you filming a traditional interview video, or are you filming case study videos? These two techniques involve moving the camera just a fraction, but this fraction changes the whole intonation and atmosphere of the video.

When to use ‘to camera’ filming

If you’re giving a direct message to a group of people, then ‘to camera’ interview filming is your best option. For example, if you’re a director of a company addressing your employees for an annual review film or appealing directly to investors, then this is the best course of action. Looking directly into the camera communicates as more of a presentation or presenting information, and is a lot more directly and personally engaging by simulating eye contact.

When to use ‘off camera’ filming

However, if you’re trying to communicate facts, answering open-ended questions, or want to do more of an interview-style video, then off-camera is the best filming option. This could be useful for communicating a brand, an opinion, or addressing a topic that forms more of a narrative rather than direct appeal. More and more businesses are using ‘off camera’ for case study videos, depicting a client sharing their positive experience. Filming case studies is a great way of attracting new business and humbly advertising your successes, so this film style might be particularly useful for you and your team. It’s a little more natural and candid. The subject looks a little off camera or to the side, as if talking to an interviewer (which can be arranged if you’d like).

Video is a very engaging media form, because our brain processes the visual, audio, and narrative stimuli differently to simply reading the same information from a piece of paper. If you want your personal message or brand message to be internalised and remembered, then case study filming and interview filming is definitely the medium you need.
